Recommendations
StowFlow reads your live inventory — bin utilisation, where each SKU sits, how often it's ordered, and each item's value and handling needs — and suggests concrete ways to cut labour time, reclaim space, and place goods correctly. Suggestions are advisory: nothing moves until your team confirms it on the scanner.
Optimization Recommendations
StowFlow AI reads your whole warehouse — item types, values, sizes, bin layout, demand and placement rules — and writes tailored advice, including where to store specific goods (apparel, jewellery, fragile and high-value SKUs). Needs the deployed site with an API key; otherwise the built-in engine below still runs.

Stock and space breakdown
Headline figures — stock value, units, space — are on Home.
Scan
Your phone is the scanner. Point the camera at a product's own barcode or a bin label — no extra hardware needed. A USB or Bluetooth scanner works too if you have one, and typing always works.
Tap to scan — no scanner needed
Reorder control
Every item with its safety stock, supplier lead time and reorder point. When an item reaches its reorder point, an alert appears on Home; it clears once you record the LPO (purchase order) for it. When that delivery is received, the time from LPO to arrival becomes the item's measured lead time.
Replenishment
What to reorder, and how much: every item at or below its reorder point — or promised to open orders beyond what's on the floor — with a suggested quantity you can adjust before sending it to your supplier as a WhatsApp message, a CSV, or paper.
Suppliers / Clients
Who you buy from, and — if you store goods for other companies — whose goods are whose.

Clients
Do you store goods for other companies (a 3PL)?
For warehouses that store goods for other companies. Give each item an owner
(on the item, or a Client column when you import), and StowFlow keeps each client's
stock separate: put-away never mixes two clients' goods in the same location, orders can't mix
clients, and each client gets their own stock statement and space-used figures for billing.

Expiry & batches
Every batch in the warehouse, soonest expiry first. Record a batch number and expiry date when you receive goods and StowFlow keeps them with the stock — through put-away, moves and counts — and always sends pickers to the earliest-dated good batch first. Expired stock is never picked while good stock exists; write it off here.
Stock check
Count a little every day instead of shutting down for a big annual count. StowFlow serves up the locations that haven't been checked for longest; type what you actually see, and any difference is corrected on the spot — with the change recorded in the Audit Trail.

How is your stock stored?
Pick whichever your warehouse uses — bins on shelves, pallet positions, both, or neither. With both on, StowFlow directs put-away and picking to whichever location fits. With neither, it drops to simple mode: plain on-hand quantities, receiving adds stock and orders take it away, with no locations at all. Everything else — items, low-stock alerts, valuation, history, orders, documents — stays whatever you choose. Switch anytime.
Simple mode is on. With no bins and no pallets, StowFlow is tracking on-hand quantities only.
Bins & shelves
Describe your layout once and StowFlow generates every bin — each with a barcode and real dimensions — so utilisation is measured by actual space used, not just unit counts. Combine with item sizes (set on each item) for true volumetric fill.
Picture guide — what do zone, bay, shelf and bin mean?
Zone — a big area of your warehouse, like a room. Each one gets a letter: A, B, C.
Bay — one shelving unit standing in a zone, like a tall bookshelf.
Shelf — one level of that bookshelf. Shelf 1 is the bottom — the easiest to reach.
Bin — one spot on a shelf where stock sits. Every bin gets its own barcode sticker.
Size (W × H × D) — how Wide, how High (tall), and how Deep (front to back) a bin is. This tells us how much fits inside.
1 · Layout
2 · Bin size, shelf by shelf
Measure one bin (or shelf space) on each shelf and type its width, height and depth in centimetres. StowFlow starts you with typical sizes — bigger at the bottom, where a pallet truck reaches, smaller at the top.

Pallets
Rate each pallet position once — footprint, stack height and weight — and every position gets its own barcode for directed put-away and picking.
Picture guide — what do length, width, stack height and weight limit mean?
Pallet position — a marked spot, on the floor or in racking, where one pallet sits. Each one gets its own barcode label.
Length × width — the size of the pallet itself. Euro pallet: 120 × 80 cm. Standard pallet: 120 × 100 cm.
Stack height — the tallest the goods may be, measured from the top of the pallet. Usually set by your racking or ceiling.
Weight limit — the most the pallet (or its rack spot) may carry, goods included. StowFlow warns before you go over it.

2 · Size & rating
Presets fill these in for the standard sizes — adjust any of them for your own pallets and racking.

Receive
Log stock as it arrives at the dock. Once logged, scanning that item on the Scan screen issues a STOW directive for the quantity you received, into the bin the system chooses. Logged stock is added straight to on-hand — no put-away step.

Labels
Optional. Items that already carry a maker's barcode need no label at all — register that barcode instead. Print here for bins, and for anything unlabelled. Plain A4 paper on any office printer works, or StowFlow's peel-off sticker sheets (choose the paper below); labels are Code 128, readable by any scanner or phone camera.

Loading…
Your data is stored securely in the cloud, encrypted and private to your account. A copy is kept on each device so scanning keeps working without signal.
Your warehouse
This is the name your staff see in the sidebar and the name and address printed on picking sheets and labels. Set it once.
More warehouses
One login can run several warehouses — each with its own stock and team. An extra warehouse is AED 200/month (Starter includes one, Business three; up to 10 per account). A new warehouse shares your account's free trial — it doesn't start a fresh one. You'll pick which one to open at sign-in, and switch anytime from the sidebar.
Delete this warehouse
Permanently deletes this warehouse and everything in it: items, locations, stock, orders, documents, the audit trail, suppliers, clients and the team's access. Your card plan is cancelled. People who belong to no other warehouse lose their login too. This can't be undone — download what you need first (Analytics and every list have Export).
API access
Connect StowFlow to your other software — an ERP, accounting, a webshop. With an API key, your system can read your items, stock and orders and send new orders in. API documentation
Only the account owner can create API keys. Ask them to open Settings → Integrations. API documentation
Refer a business
Know another warehouse, shop or 3PL that should be on StowFlow? Send them your link. When a business you referred starts a paid plan, you both get one month free.
Your code: — they can also type it when they sign up.
Your referral link appears here once your company is set up.
Audit trail
Everything that happens in the warehouse, and who did it: every pick, put-away, receipt, edit, deletion and reset, with a snapshot of the record where there is one. Nothing here can be edited or removed — it survives even a warehouse reset — so a deleted item can still be looked up long after.
Proof & receipts
Upload proof documents — delivery notes, supplier receipts, photos of damaged goods, signed PODs. Add a reference (e.g. an order number) so they're easy to find later. Files are stored encrypted in the cloud and are private to your account.

Import data
Bring an existing warehouse into StowFlow in minutes, from one spreadsheet. Works with CSV and Excel (.xlsx / .xls).
Upload your stock list
One spreadsheet is enough — your own Excel, or an export from your old system. No template, no renaming columns. We'll match the columns, create your items and locations, and add the quantities. You see exactly what will happen before anything is saved.
Every row needs an item name or code. Quantity, location, item barcode, category, cost and the rest are optional. Shelves already have barcode labels? Add a Bin barcode column and StowFlow uses those labels — no new ones to print. Uploading an updated list later updates your items instead of duplicating them.
Watch: importing your stock, start to finish
One minute, no technical knowledge needed — uploading your own spreadsheet, checking the preview, and where everything lands afterwards.
Advanced — separate Items, Bins and Stock files
How the separate files work
- Decide which data you have: Items, Bins, or Stock.
- Download the template for that type and fill it in — or export your own data so the column names match exactly.
- Upload the file (.csv, .xlsx or .xls). StowFlow shows a preview and flags any bad rows.
- Click Apply. Do them in order: Items → Bins → Stock (stock needs items and bins to already exist).
Row order doesn't matter, and capitalisation is ignored. Common
alternatives are understood too — Qty for Quantity,
Bin for BinCode, EAN or UPC for
Barcode — so a supplier's own spreadsheet usually imports without editing
the headers. To clear the sample data before importing, use Reset warehouse…
in the sidebar and choose start empty.
Round trip. Every list in StowFlow has an Export CSV button. Export Items or Bin Locations, correct them in Excel, and import the same file straight back — the exported headers are understood as they are, so nothing needs renaming. That is usually faster than editing a template for a bulk change like re-pricing a category or adding dimensions to a hundred SKUs.
1 · Items
One row per product. Required: SKU (your own code) and
Name. Optional: Category; Barcode — the
manufacturer's own EAN/UPC, if the goods already carry one, so nothing needs printing;
Width / Depth / Height in cm for space-based fill;
and Value (standard/high) with
Handling (none/fragile/perishable/hazardous)
to drive placement. Also understood: Reorder (minimum stock — drives the
low-stock alerts and replenishment), Cost in AED (drives stock valuation)
and Kg per unit (drives truck-load planning).
A scanner reads either one: scanning the maker's barcode finds the item just as scanning your SKU does. Bring your barcodes in this column and you may never print a label.
2 · Bins
One row per shelf location. Columns: BinCode (e.g. A-01-3), Zone (a single letter), Capacity (a number), and optional Width / Depth / Height (cm). Tip: Warehouse settings can generate these for you.
3 · Stock
How many of each item sits in each bin. Columns: SKU, BinCode, Quantity.
Optional: Batch and Expiry (e.g. 2027-03-31 or 31/03/2027) for goods with a
shelf life — list a bin twice to record two batches in it. They then show in Expiry & Batches
and pickers are sent to the earliest-dated stock first.
